MS Word 2007--Few Basic Tips


Microsoft Office 2007 is probably the most popular and most used application on our computers. We often use - word processors, spreadsheets, presentation applications.

But I think most of us prefer MS Word to create and manage our documents, that's why MS Word 2007 is the most popular among other products of Office suite 2007.

It might be hard to get used to with all the common commands & time-saving features; all those menus, toolbars and buttons of MS Word 2007 can seem hard to understand at first impression, specially if you are just starting out.

So ! here I've shared some of the most common tips of MS Word 2007 to start with.





1. Use Bookmarks

Word's Bookmark feature lets you navigate quickly through lengthy documents. Simply go to a page you'd like to bookmark and, from the Insert tab, and from Links subsection click "Bookmark".
Name your Bookmark and click Add.

To find your bookmarks, press CTRL + F, and then click on the Go To tab. Select Bookmark from the menu on the left and enter the bookmark name to jump straight to it.




2. Keep the right format
Want to paste formatted text into Word without losing the original format?
After copying the selected text, you'll need to have the Home menu activated, then click on the small down arrow under the big Paste button and choose Paste Special.




3. Lose the wrong format

If you have a document with lots of formatting/styles to it you can remove all of those formatting at once.
To quickly remove the formatting from your document, highlight the relevant text, then press CTRL + SHIFT + N.
......The shortcut I think I use most frequently ;-)

To Remove all the hyperlinks from your document, highlight the text then press CTRL+SHFT +F9
(This shortcut really comes handy when you copy a web page or article directly to MS Word window).




4. Inserting automatic page numbers

To insert page numbers automatically.

1.Click on the Insert menu, and then click the Page Number button and select what style you want.
2.Double click (in middle of document) outside the header or footer to return to the document.
Similarly, simply double click a header or footer to return to edit it.
3.Remember you can be fancy with headers and footers, you can insert graphics/pictures, text boxes and all sorts of things in header/footer for a unique layout.




5. Footnotes

To insert a footnote in Word 2007, click on the word where you want to apply footnote and then go to References menu, and then click the big Insert Footnote button.

To remove footnotes, select the word where the number is assigned and delete it, footnote assigned to that word will automatically be deleted from the bottom of the page.




6. Create a master document

If you'd like to collate a whole bunch of smaller documents into one, easy to read document, you can create a Master Document. A Master Document doesn't merge files, rather it links to existing separate files, and makes it look like they're part of the one document. The advantage is, whenever you update one of the smaller files, (since it's live-linked) it will also update in the Master Document.

Keep in mind that you'll want to create page numbers and so on in the header and footer of the Master Document, not the individual smaller documents, or managing your page numbers could become very difficult to handle.

Change to Outline View by clicking the fourth icon on the bottom right next to the zoom controls in. The view will change, and the Outline toolbar will appear.

1.Type in a heading in the document to represent the file you want to import
2.Now click the Show Document button, then the Insert button, and choose the file you want to link to
3.The process is the same for all subsequent documents. Save the Master Document to a unique file name
4.You can compress the Outline view to just the linked locations of the files by clicking the Collapse Subdocuments button
5.You can view the entire live-merged document by making sure the Subdocuments are expanded (by hitting the same button as above), and then selecting any of the other page views
6.You can edit the individual linked files by double clicking on the torn page icon next to the Subdocument, listed in the Outline view of the Master Document.




7. Stop Spell-Check

Speed up spell-check by preventing Word from grammar-proofing your documents.
To disable it, click on the Review tab , click the Spelling & Grammar button, and then hit the Options button. Deselect both “Mark grammar errors as you type” and “Check grammar with spelling”, then click OK.




8. Prevent Word 2007 to put horrible spacing

By default Word 2007 inserts a trailing space after every carriage return, and makes things a little more spread out. To return this to normal for every document:
1.Click the Home menu, then click on the small Line Spacing button (it's the fifth from the left in the Paragraph section)
2.Select Line Spacing Options
3.Under the Spacing section, set After to 0 pt (by clicking small up arrow), and set "Line spacing" to single
4.Click the "Default" button, It’ll show you a warning, click Yes.

From now on, all new documents will now use proper spacing.




9. Make Word 2007 save to .doc by default

Word 2007 uses a highly incompatible .docx file format for saving files, making it difficult to share with friends and colleagues who don't have the same version (2007).

To change this:
1.Click the Office button.
2.Click the Word Options button
3.On the left-hand side, select Save
4.Change the Save files in this format drop down box to Word 97 - 2003 Document (*.doc)
5.Click OK.




10. Customizing Quick Access toolbar

Word 2007 has very handy new feature of Quick access toolbar with one click shortcuts of different command or functions same as in Windows Taskbar.
By default you have only 3 options of "Save, undo and redo".

But you can customize this toolbar, with the commands you use most frequently.

To customize:

1.Click the Office button in the top left
2.Click the Word Options button
3.On the left-hand side, select Customize.
4. Choose the options (from left menu) and Click "Add" button in middle to add those commands to quick access toolbar.
5. Click OK to see the changes.




11. Recent Documents

One of the most handy features of MS Word for quickly accessing your most recently used documents.

Best part is that you can "pin" your most important documents or documents you don't want to slide down the menu or disappear as the new documents open.
To pin the documents, simply Click Office Button, and press the Small pin in front of each document to "pin" it permanently.


By default Word allows you to keep 17 Most recent documents in the list.

But you can increase or decrease the number of documents to be placed in the list.

To change the number of documents to show:

1. Go to the Word Options.
2. From left-hand side, select "Advanced".
3. Scroll down to the middle of the right screen that opens.
4. Under "Display" Section, find "Show this Number of Recent Documents".
5. Change the number you want.
6. Click OK.





There are so many other options to explore in "Word Options" beside these.

Like if have tired of same default Blue color of MS Office, and wanna change it.. you can !

To change the color scheme:

1.Click the same Office button in the top left
2.Click the Word Options button
3.On the screen that comes first, find "Color Scheme" drop down box.
4. And change it to Black, Silver, or Blue.

Remember:This will not only change the color of MS Word but it'll also change color scheme of all MS Office Products installed on your system.

Add Background Image to a Folder or Drive

Background image in folderIf you have used Windows 98, then you must knew about its feature of adding color or any picture to a folder's background. We could also change the color of fonts of that particular folder.
This would help make each folder easier to identify and would bring a personal touch to the PC.

.... but this feature was removed since Windows XP was released.

It was definitely a good feature to see and I know many of us still miss that feature in Windows XP/Vista.

But here is a small utility, which can do the same work in Windows XP !!





"Customize Folder" is the actually the same old "Folder customization wizard" used in Windows98.
It is just redesigned to run on Windows XP.

How to Run:

1. Download the file to any location on your drive.

2. Copy "Customize Folder.exe" to the folder, of which you want to change the background color or want to apply any background image.

3. After copying, run the file.
4. Choose "Choose a background picture" option.
5. Click Next.

6. Choose Picture or browse your image.
7. Click Next and then finish.
8. Refresh the folder to see the changes.


(It 'll automatically search and show all .bmp images in "C:\Windows" folder)

So if you want to customize many folders, then its better to put all your images (in .bmp format) in C:\Windows. So you don't have to browse your images every time.





Alternative....??

If you think that above method of copying/pasting the .exe file in each folder you wanna customize, is not for you !
Then there's another alternative of this, "WindowPaper XP".

Using this utility , you can do the same things of changing the background image, background color, and text color.Windowpaper-XP














Does this work on Vista??

Yes ! This also works on Vista but not the above mentioned Methods/Utilities.
....For Vista users "Vista Folder Background" is just for this purpose.
Which I think is more convenient in use and as easy as right clicking a folder.






How to Install/Uninstall:
1. Install: Run install.bat to install.
2. Uninstall: run uninstall.bat to uninstall and restart system.

How to use:
Right click any folder an check the "Folder Background" tab for settings.

Adding "Comment Form" in your blog

Blogger.com has finally officially released its inline comment form that can be embedded below every post.

If you didn't activated it yet.. you can do it now !!
Here's the simple procedure..


To show comments form below every post;


1. Go to Settings, then Comments tab and scroll down the page to see the

"Comment form placement" settings.

2. Select "Embedded below post" option.

3. Save and see your blog.

Note: If you have one of the default templates installed in your blog (offered by blogger.com) then Embedded below post comment form will be shown immediately after save.

But if you have installed a theme in your blog then in some templates it might not work.
But you should save and check whether it is working in your theme or not.

If not, then there's a method which will work for almost all blogger templates.

1. Go to Layout > then "Edit HTML
2. Check Expand Widget Templates.

Then search for this line in your template code:

Immediately after this line, add the following line of code:

<b:include data="post" name="comment-form">

Then first See the preview and then save your template.

6. For those who dont use Expandable Post Summaries and want the bookmark buttons to appear after every post.

Search for

and paste the same code written in point 5 AFTER this.

Preview the template first, DONT save at this point. If Preview window shows your blog fine and with the "bookmarks buttons" link after every post, then it means, everything went perfect. Otherwise It'll show an error, and prompt you to remove them first before saving.

Common mistakes we do is incomplete Copying/Pasting the code.
Make sure you copied everything carefully and pasted it in right places, defined above.






If you only want to show a Big DIGG Button (with submit capablity) on top right of every post.

Here's the procedure...

1. Go to "Layout" and then the "Edit HTML" section.
2. "Download Full Template" for downloading the backup of your blog.
3. Check the "Expand widget Templates" checkbox.
4. Search (Ctrl+F) for this code

Too many Long posts to show on Home Page? Add "Read More" !

If you usually write long articles for your blog and want to show maximum of them on the home page of your blog, what people normally do, that they simply increase the number of posts to show on home page.
But this not only makes your page longer, but it also takes little more time to load than blogs with fewer posts on their home pages.


"Expandable Post Summaries" is the solution where a summary of the post is given as a teaser paragraph and then a link to the full post is given below the incomplete post- such as
"Read more..." or "Continue Reading..."

This little trick adds itself to every post of your blog, you can choose to display a selective amount of text from the beginning of each post as a teaser instead of showing the entire post on the front page of your blog and when the reader wants to read the rest of the post, he can click the "Read more..." link, to see the full post.
This is very handy if you have lots of long articles page and you want to show maximum of them on homepage.

Here's the procedure to do it...




Note that you’ll need to have post pages enabled in order to make this feature work.
If it is disabled, then enable it... from the Settings go to "Archiving" tab, and select "Yes" to Enable Post Pages.

1. The first step should always be backing up your blogger template, so than if anything goes wrong, you'll have your backup to restore to original condition.
(If you dont know to backup, here's the little procedure...Goto "Layout", click "Edit HTML" tab, and click "Download Full Template" link.)

2. Now from same "Edit HTML" page, check "Expand Widgets Template" first and then from the code written below
search for the
<div class='post-body'>


Sometimes you'll find a little different code instead of above, like
<div class='post-body entry-content'>


..........both are same.. So Don't Worry about that.
(Tip: To Open Search Box, Press Ctrl+F )

Now
paste the following code AFTER <div class='post-body'>

You can change the text "Continue Reading..." to any text you want, such as "Read More...".

3. Preview the template first, DONT save at this point. If Preview window shows your blog fine and with the "Continue Reading..." link after every post, then it means, everything went perfect. Otherwise It'll show an error, and prompt you to remove them first before saving.
Common mistakes we do is incomplete Copying/Pasting the code.
Make sure you copied everything carefully and pasted it in right places, defined above.

4. Save the template now.

5. Now go to the "Settings" and under the "Formatting" Tab, go to "Post template" and add the following code in the box.


....Type your summary here.

....Type rest of the post here
</span>



6. Save the Settings again.

Purpose of this code is to divide the summary of the post and the rest of the post.

7. Create new Post and Replace your summary with the text in red and then the rest of your post with the text in green.

Done ! :D

NOTE: This will only work on new posts of your blog (after adding these codes). It'll not work on the older posts.

Writing Quality articles, giving time to minor details on every bit of the post requires a little bit effort but after that what we expect is... few people reading those articles! and it gives more satisfaction when good number of visitors read your blog's feed/articles.

Just like every other blogger I also searched and tried for each and every possible way to increase number of visitors to my blog.

And as a blogger, Driving traffic to your blog to gain new readers should be included in the things you do on a regular basis.

Based on my personal blogging experiences, here are some tips that will help you to grow your reader-base by getting high amounts of traffic to your blog.



1. Social Bookmarking



The first thing that helped me a lot in driving traffic is to share your blog posts on social bookmarking sites, like;

StumbleUpon
del.icio.us
Reddit
Fark
Propeller
Furl
Mixx

....you can use any social bookmarking site you like.

Be sure when you submit to these sites you use appropriate tags so that people searching the site will find your submission easily.

But remember sending the links to Digg or StumbleUpon or to any of above mentioned sites will only increase the number of visitors you receive.

What is more important is to Increase your group of friends on each site so that you can take full advantage of these bloggers tools.

2. Publish your Link



Post a link of your blog on the forums you use and visit. If it’s allowed to put a web link in your forum signature there’s no reason why you can’t market yourself and your blog there.
Just post frequently in those forums and be an active member, and just sit and watch the traffic come pouring in to your site.


3. Comments



Commenting is no doubt the most Essential thing in blogging. Yes! It is a simple but essential tool to increase your blog's traffic.

First, respond to comments left on your blog to show your readers that you value their opinions or queries. This will increase their loyalty.

Secondly, leave comments on other blogs to drive new traffic to your blog.
In comment box there a text box to enter your site's address, just don't forget to put your site in there with your comments.
If people read an interesting comment, they will surely likely to click on the link to visit the commentaor's website.

Posting comments on others blogs of your interests will definitely enhance the new traffic to your site.


4. Keep it Updated


Frequently updating your blog with useful and interesting contents is the first step to building your blog's audience.
The content you write is what will keep readers coming back. Make sure you have something meaningful to say to them and say it often to maintain their interest and keep them visiting.

On average 4-5 posts weekly is a good enough to keep your readers coming back.

And Remember! Don't try to re post or copy text from other blogs or sites, for those topics that have been posted several times before.
Just Keep it genuine ... Write yourself. ! :)


And posting frequently, will increase the number of chances you'll have your blog's content to be noticed by search engines such as:
Google or
Technorati.



5. Make it Searchable



This should be one of the immediate steps to take just after creating your blog. Submit your blog to Search Engines such as Google or Yahoo by submitting your blog's URL to them.

It's should be understood that simply submitting your blog to search engines doesn't mean your site/blog will appear at the top of a Google search results screen.
It will take some time to Search Engine's Crawler to pick up all the pages of your blog based on the amount of traffic to your site.

8. Make it Attractive by adding Images



Images don't just make your blog look pretty and attractive, they also help others to find you in search engine. Most of the Search Engines also offers image searching options.
Searchers find your image with your complete blog page at the bottom half of the image search page (like in Google).

This will surely boost your traffic of your blog....Just name your images properly before adding to your post.

Submit your Site to Top Search Engines

If your site or blog is new then Search Engines will take time to crawl and add your site to their database.

Submitting your blog or site to search engines is THE most important way for visitors to find your site or blog.

Everyone wants to see their site on top search results of search engines.

If you also want top the search engine placement for your site then don't wait for the search engines to automatically find you.

Just manually submit your site to them.



Submitting your site or blog to search engines should be one of the immediate steps to take just after creating your blog.

Some Tips to Remember about Windows

We know that not every software is designed according to individual needs.

So Why not set it up exactly how you like it!

These are some of the most common tips of windows, but most of still don't understand that using these, can save us a lot of time. And all these are the handy hints to make computing little easier and smoother.


OK! Let me show you some..




1. Customize your Start menu

Make your start menu for quick access to Drives in My Computer, Folders in My Documents, My Pictures, and My Music or to see options in control panel or other Network connections.



Right-click on an empty space on the task bar, and then click on Properties

* Click on the Start Menu tab. Click the active Customize button
* If you're using the Classic Start Menu, select Expand Control Panel and Expand Network Connections

* If you're using the Standard Start Menu, in the Control Panel section select Display as a menu.
* Under the Network Connections section, select Link to Network Connections folder to quickly access Network Connections folder.

* Click OK, then OK again to effect the changes

You will find plenty of other options here to check.

2. Turn off Personalized Menus (in Classic Start Menu)
[This works only if you are using Classic Start menu in your windows]

It is annoying when users couldn't find the menu entry they wanted just because of a small scrolling arrow at the bottom of the menu. You have to place your cursor over it to scroll to bottom.

To turn it off if you're using the Classic Start menu:

* Right-click on the Start button and click on Properties

* Click Customize

* Scroll to the bottom of the Advanced Start menu options box and uncheck "Use Personalized Menus" and click OK

3. Stop Security Center pinching you!

Security Center, which was introduced with Service Pack 2 and is still present in Service Pack 3, likes to pop up all the time that your system is insecure, especially if you've got Automatic Updates or Firewall turned off, or in absence of any antivirus.

To make it silent:

* Open Control Panel then Security Center

* On the left-hand side of the application click the link that says Change the way Security Center alerts me

* Uncheck the item(s) you want to disable — either Firewall, Automatic Updates, Virus Protection — then click OK

4. Use proper Search

By default, Windows XP hides some formats of files from its search. It also uses a stupid-looking dog called the "Good for nothing--Search Companion”. That you'll want to get rid of.

Open Windows Explorer, and hit F3 to open the search panel.

* Click the Change preferences link, and then click the Without an animated screen character link

* Click Change preferences again, then click Change files and folders search behavior link and select the Advanced option, then click OK



* Expand the "More advanced options" section by clicking on it, and make sure Search system folders, Search hidden files and folders and Search subfolders is selected to get the best possible search results.

5. Install TweakUI, See the Hidden Options

A must have tweaking utility for windows. I think No Windows XP user should be without TweakUI.

6. No to all!


When moving files, Windows XP will give four options:
Yes,
Yes to All,
No
Cancel.



Sometimes though, you want a “No to All” ..? Right-— to enable this, just hold down SHIFT key while clicking No. :-D

7. Auto-tile applications vertically or horizontally

If you want to easily set up windows so they tile vertically or horizontally, hold down the CTRL key, click on the applications you want to tile in the task bar, and right click.

If you're in Windows XP, you can choose "Tile Horizontally" or "Tile Vertically"In Vista it's known as "Show Windows Stacked" and "Show Windows Side By Side".

To get expanded start menu to see all extra options when right clicking on a file, hold down SHIFT first.

9. Turn off security warning when running files

[Do this at your own risk, or if you trust the publisher of the "unknown program"]

If you download an executable or file that's seen as a security risk,Windows asks for your confirmation before running, saying "Publisher could not be verified"




Here's how to disable this annoying feature:

* Click the Start button, then click Run — if you're using Vista, just click the Windows button
* Type gpedit.msc and hit enter
* The Group Policy editor has now loaded. On the left, expand User Configuration
* Expand Administrative Templates
* Expand Windows Components
* Click on Attachment Manager
* Double click Inclusion list for low file types, and set the radio button to Enabled. In the field that appears below, enter the filetypes causing you issues, separated by semicolons.

For example: .exe;.doc;.ppt;.xls.

* Click OK when you're done
* Restart your machine for it to take effect

If you would prefer to leave the feature on, but just unblock one file:

* Simply Right click the file and click on Properties
* Click on the Unblock button and click OK

10. Reduce crash recovery time


When a Blue-screen of Death or System crash happens, System Hangs up, and you have to restart it manually... right?

But you can set it to Restart system automatically, if any of those events occur.

So you can restart your things quickly.


* In the Control Panel, open System.
(If you're using Vista, you have one more step: on the left hand side of the pane that opens, click the Advanced system settings link.)


* Click the Advanced tab, and in the Startup and Recovery section click the Settings button.
* Deselect Write an event to the system log.
* Uncheck "Send an administrator alert".
* Check "Automatically restart"
* Set Write debugging information to "None" from drop-down box.
* Click OK, then OK again.

11. Faster Opening of My Computer

1. Open My Computer
2. Click "Tools" from menu bar above.
3. Select "Folder Options".
4. Goto "View" Tab.
5. Under Advance Settings Hierarchy, Uncheck "Automatically search for network folders and printers"



This will save few seconds loading and searching for network folders/printers that are shared over local network, while opening My computer.

Smallest Tweaking Utility for XP

Microsoft's TweakUI allows the user to customize the user interface of the Windows operating system. The application has been designed for beginners or users with older, slower computers to turn off many aspects of the operating system's eye catching features, such as fading menus, drop shadows, and cursor shadows and many more.


Tweak UI gives you access to a number of settings that are hidden away in Windows. It is part of the PowerToys utilities that are provided by Microsoft.


Tweak UI also includes numerous features to customise the way various base elements of the interface work, such as the taskbar and the desktop.



Tweak UI allows you to change the way Windows looks and works. For instance, you can change things like the speed at which the mouse wheel scrolls and if a specific user should be automatically logged in whenever you start up Windows (a big time saver if you are the only person to use a PC, and hate having to type your password every time you reboot).


It can also assign commands to keys in Windows Explorer; a big plus if you like shortcuts keys and frequently have to cut/copy lots of files.


The application also enables users to move the (default) location of their Documents, Music and Pictures folders, as well as other system folders. It also includes various tools to repair elements of the operating system, such as icons, hot keys, the font folder, and file extension associations. It can be used to disable AutoPlay on one or more drives as well, which may be useful especially as external hard disk drives become popular.



TweakUI is a little but great utility which allows us to alter hidden windows settings & Tweaks with without messing around in the Registry.


Unfortunately currently from Microsoft it is only available for Windows XP only. But Don't worry--for Vista users there's an alternative present by Stardock, as
"TweakVista"

There are many other Tweaking Software available,
